Deposit terms, refund windows, and how force majeure and operator-side cancellations are handled.

The terms below are our standard ones. The deposit amount, balance due date, and any route-specific variation are set out in the written booking confirmation we send you, and where that confirmation differs from this page, the confirmation is what governs your booking. Restricted-area routes and expedition peaks carry stricter terms than teahouse treks, because their permits are filed and paid earlier and are not refundable once issued.
If anything in your confirmation is unclear, ask before paying the balance. We would rather answer the question than argue about it later.
A deposit is required to confirm your departure date and hold your place with a licensed guide. The deposit amount is confirmed with your quote and is applied toward your total trip cost. Full payment terms are agreed at booking and are separate from this cancellation policy.

These windows apply to cancellations initiated by the traveller. Deposits are non-refundable at any point after booking, since they cover permit filing and guide allocation that begins immediately.
If we cancel a scheduled group departure (most commonly for insufficient group size on a shared departure), you receive a full refund of all payments made, or the option to transfer to another departure date at no extra cost. This does not apply to weather or permit-related itinerary changes made once a trek is underway, covered under force majeure in our terms of service.
Cancellations or itinerary changes caused by events outside our control, natural disasters, government-imposed restrictions, extreme weather, or similar circumstances, are handled case by case. We will work with you on rescheduling or a partial refund reflecting costs already committed (permits filed, non-refundable flight bookings), but a full refund cannot be guaranteed when the disruption was outside our control.
Because cancellation windows can result in a partial or no refund closer to departure, we recommend travel insurance with trip-cancellation cover for every booking, purchased at the time you book rather than closer to departure.
Moving to another departure is usually cheaper for you than cancelling and rebooking, so ask about it first. A date change requested 45 days or more before departure is made at no charge beyond any difference in the trip price and any non-refundable cost already committed, such as a filed permit or an issued domestic flight ticket.
Inside 45 days, a date change is treated as a cancellation and rebooking under the windows above. One date change is permitted per booking; a second is treated as a new booking.
If some members of a private group cancel and the departure still runs, the per-person price is recalculated for the smaller group, because the guide's day rate splits across fewer people. The travellers who remain pay the difference. The travellers who cancelled are refunded under the windows above.
Arriving too late to join a departure, or not arriving at all, is treated as a cancellation with fewer than 15 days' notice, and no refund is due. This is the situation travel insurance exists for, particularly where the cause is a delayed or cancelled international flight.
If you leave a trek early for any reason, including altitude, illness, or personal circumstances, unused accommodation, meals, permits, and guide days are not refundable. They are already paid for and the staff are already committed. Costs of descending and returning to Kathmandu early are the traveller's own, and are normally recoverable through travel insurance rather than from us.
Approved refunds are returned by the same method you paid, in the currency you paid, within 14 working days of us confirming the amount. Bank transfer fees and any loss on currency conversion are not refundable, because they were paid to the bank rather than to us. Where a third party holds part of your money in a non-refundable form, such as a government permit or an issued airline ticket, that portion cannot be returned regardless of notice period.
Write to hello@nepaltravelpackages.com setting out why. We acknowledge within three working days and respond in full within fourteen, and we will show you the line items behind the figure rather than only the total. If our response does not resolve it, the complaint can be escalated to the Nepal Tourism Board or the Trekking Agencies' Association of Nepal.
Send written notice to hello@nepaltravelpackages.com or message us on WhatsApp. Your cancellation date is the date we receive that notice, not the date you decide to cancel, so notify us as early as possible if your plans change. We confirm every cancellation in writing; if you have not had that confirmation within two working days, assume we have not received your notice and contact us again.
